Business Development Assistant

The Business Development Assistant supports the sales team in the administrative management of service contracts, monitoring renewals and producing reports. He or she plays a key role in preparing quotations, updating customer files and coordinating specific orders.

Job description

  • Prepare bids for service contracts and standing offers, working with the Business Development and Service team to finalize files. Including creation of equipment, filters and belts;
  • Ensure monthly follow-up of contracts to be renewed, update files, and analyze profitability of current contracts in order to offer the best renewal option to our customers;
  • Select appropriate statuses according to the progress of service contracts, and generate maintenance tasks according to the current contract;
  • Create and open customer accounts and locations;
  • Update equipment reports according to refrigeration specialists’ recommendations;
  • Update obtained/cancelled contract reports;
  • Generate monthly reports from operating system or accounting software for internal analysis and performance tracking;
  • Generate, sort, update and coordinate orders for non-standard materials in relation to the month of maintenance linked to service contracts in collaboration with the relevant teams;
  • Manage, maintain and exclusively control the database: customers, contracts, locations, hourly rates, inventory cost prices, etc.
  • Generate monthly tasks for all types of maintenance tasks;
  • Continuous improvement of database and work tools;
  • Maintain email boxes: Contract Management, Billing and Payroll Service;
  • Respond to customer inquiries and ensure effective follow-up;
  • Follow customer-specific billing procedures in Progression Live, appropriate website and issue credits as required;
  • Approve and invoice subcontractor tasks related to service contracts;
  • Support the payroll process.

 

Profile required

  • Minimum 3-5 years’ experience in an administrative and/or business development position;
  • Experience in air conditioning, heating, ventilation (HVAC) and/or plumbing in the commercial and industrial sectors (an asset);
  • Good communication skills and ability to work as part of a team;
  • Proficiency in office automation tools (Microsoft Office)
